Berger Scheme Tracker System- User Help
 
Purpose:  To raise all issues relating to a scheme. This is to avoid email exchanges and record all issues in the system for better tracking and history.

 
The depot may have A number issues relating to any particular scheme. All issues are raised with respect to a scheme in this application.

1. You may not have received gift items on time from either third party shipper or a vendor or from a regional depot where the consolidated despatches were made either from the vendor or the shipper.
2. The gift item might have been delivered in a damaged condition.
3. HO has not approved the SRF and accounts might not have sent the cheque towards the scheme.
4. Depot schemes have not been uploaded in the system.
5. Redemption data is not loaded even though the files were made ready.
6. HO needs a quotation for gift items against a scheme.
7. Depots can also upload the quote in the issue log screen.
8. Depots can notify HO that a particular scheme redemptions are complete by making a statement.

We would expect that this will be the single truth in the organization relating to any scheme related issues and no need to interact  through any other media like  email, telecon, chat etc.

Based on the type of issues you can raise the following type of Issues:

1. Action       -- Assigning a responsibility to someone to act on the issue within a due date by which you would like the action taken and the issue is closed.
2. Statement -- A general statement that you would like others to know but no actionable was set for anyone.
 

All issues raised by the user or anyone who has put an actionable on you will be listed in the list screen. If you want to go the particular issue click on the issue Id (First field in the display screen),  which will display the issue details.

If you want to select only issues whiose action is due, you can select  the checkbox on Action Due.

he top filter   and press search button, then only pending action issues will be listed. You can also select by issue type and for a specific scheme code.
 
 

 

 

 

When you click on the add button, a new screen is displayed for the user to create an issue statement as shown below. select the scheme and enter the following fields:

1. Business line to be selected from a dropdown list.
2. Type the scheme number and press tab. If the scheme selected is a valid then the scheme description will be displayed.
3. Issue type: select as 'Issue' or 'Statement'. Issue will have to be assigned a responsibility where as the statement has no responsibility assigned. Both action & Statement can be marked as CC to multiple stakeholders in one go. The actionable id can be only one where as the others can be marked as 'CC'
4. Type an Issue Title
5. Type the issue description
6. if the issue type is selected as Statement' then you can mark cc to number of people by selecting 'Yes' in CC required dropdown.
7. If cc required is 'Yes' Then select the region and select the depots from the right side list and  press then the selected depots will be shown in the left pane. You can use Control or Shift key to select multiple depots at one go. It is also possible to remove from the selected list any extra depot that you have copied by pressing icon after selecting the unwanted depots from the left pane.

8. If issue type is 'Action' then if you mark cc required as 'NO' then you must assign the actionable on at least one person.

9. If issue type is 'Action' then if you must enter action by date for the other person to close this issue.

10. When you submit or press F7 the issue will be created and you will get the display of the issue list screen.

11. If you want to upload any document against any scheme select the issue and click on the top link so that you can upload the document.

Shortcut keys are also provided so that the user can press the relevant shortcut key for the necessary action.
